Privacy

Privacy notice.

The short version: we collect the minimum information needed to process membership applications, keep application consent separate from optional newsletter consent, and do not sell personal data.

Provisional — pending founder and legal review.

What we collect

If you apply for membership, we collect your name, email address, the capacity you are applying in, your GMC number if you are applying as a doctor, your application statement, your application consent, and whether you separately choose to receive MedRostrum news and updates by email.

Why we collect it

We use application information to receive, review and manage membership applications, verify professional information where appropriate, and contact applicants about their application or membership. We do not sell personal data.

Application consent

Membership application consent is required before an application can be submitted. This consent covers storing and using the information needed to process the application and, if admitted, contacting you about membership. The checkbox is not pre-selected.

Newsletter consent

Newsletter consent is separate and optional. Choosing not to receive news, events and updates does not prevent you from applying for membership. At this stage, your newsletter preference is recorded with your application and is not automatically sent to a newsletter platform.

Storage and access

Membership applications submitted through this staging website are stored in a restricted MedRostrum SharePoint List. Access is limited to authorised MedRostrum team members and the server-side application used by the website to record applications. Backend credentials are not exposed to the browser.

Retention

Application data will be retained only for as long as MedRostrum reasonably needs it for application and membership administration. A formal retention period will be confirmed before production launch as part of the final legal and governance review.

Your choices and rights

You can ask MedRostrum to correct or delete application information, withdraw consent where consent is being relied on, and exercise other rights available to you under applicable data protection law. Withdrawing optional newsletter consent does not affect the handling of your membership application.

Contact

A dedicated contact route for privacy and data requests will be confirmed before production launch.
